Job Overview:

RectorSeal seeks an International Shipping Coordinator to coordinate and manage international order fulfillment and logistics. The position partners with sales, manufacturing, freight forwarders, and international distributors to process orders, prepare export documentation, manage shipping requirements, and resolve logistical challenges. The role also supports compliance with international trade regulations, analyzes freight costs, and helps optimize global supply and distribution operations. This hybrid, salaried position requires an office presence 1-2 times weekly. The work schedule is as follows: Monday through Friday, 8 AM-5 PM.

Key Responsibilities:

  • Coordinate with international distributors, representatives, sales teams, manufacturing/production teams, and freight forwarders to ensure timely and accurate shipment of orders to international customers.
  • Prepare, review, and finalize all export documentation to ensure compliance and avoid delays, penalties, or fines.
  • Process customer orders and manage order revisions as required.
  • Collaborate with the sales team to align pricing, payment terms, freight terms, lead times, and customer expectations.
  • Liaise with freight forwarders to manage shipping requirements, including hazardous materials restrictions, pickup schedules, and special handling needs.
  • Ensure all export shipments include complete and accurate documentation, such as commercial invoices, pro forma invoices, and shipper's letters of instruction.
  • Identify, analyze, and resolve logistical challenges related to international supply and distribution in collaboration with internal stakeholders.
  • Analyze freight costs and identify opportunities to reduce overall shipping expenses while maintaining service quality.
  • Review and audit freight invoices against quoted rates; investigate discrepancies.
  • Participate in certified training programs related to international shipping regulations and compliance.
  • Audit and maintain accurate harmonized tariff codes (HTS) for products shipped internationally.
  • Manage product setup, inventory planning, and coordination for items stocked in overseas warehouses.
Skills and Competencies:
  • Strong organizational skills with exceptional attention to detail.
  • Ability to effectively communicate and work with multicultural and international customers.
Minimum Experience:
  • Proficiency with computers and standard business software applications.
Preferred Experience:
  • Broad knowledge of international logistics, including export documentation and compliance requirements.
  • Experience working with freight forwarders, customs brokers, and international shipping partners.
  • Bilingual in English and Spanish.
  • Knowledge of hazardous materials (HazMat) regulations.


Work Environment

While performing the duties of this job, the employee is regularly required to sit, stand, walk, and talk or hear. The employee is occasionally required to use hands and fingers to type or dial, climb or balance, stoop, kneel, crouch or crawl, and reach with hands and arms.

The employee must be able to lift and/or move up to 50 pounds. This position requires computer use. Specific vision abilities required by this job include close vision, color vision, distance vision, depth perception, and ability to adjust focus.

Compensation: RectorSeal has an effective process for assessing market data and establishing ranges to ensure we remain competitive. You are paid within the salary range based on your experience and market position.
