Job Summary: Plans and coordinates special and creative events at the hotel to achieve customer satisfaction, and quality service. The Special Events Coordinator must be a highly detail-oriented person who possesses good communication skills, has the ability to multitask, and works well under pressure. This role also works alongside our support departments and vendors on the servicing of group business and bookings.

DUTIES AND RESPONSIBILITIES:

  • In person regular and reliable attendance.
  • Responds to incoming telephone inquiries in a timely fashion.
  • Replies to e-mail and phone correspondence daily to help close business.
  • Coordinates and conducts site tours & generates proposals and/or pricing information.
  • Coordinates the development and execution of meetings and events.
  • Creates and distributes weekly calendar.
  • Creates, distributes, and coordinates accurate banquet event order (BEO) packets to staff before event.
  • Prepares cost estimates, collects payments, and finalize billing for all group functions.
  • Interfaces with restaurant and other appropriate departments/staff to coordinate catering services and room and communication equipment requirements.
  • Interfaces with all appropriate staff to ensure collaborative, efficient, effective service that responds to guest needs and staff/property requirements.
  • Works at events to direct staff and outside vendors and ensure events are executed in an efficient manner; expedites all problems and emergencies.
  • Ensures that all materials/equipment required for event are in place, duties include meeting or event set up, audio visual equipment, etc. Rectifies any deficiencies.
  • Assist with special projects and tasks.
  • Planning and Coordination for in-house events.
  • Performs other duties as assigned by manager.

QUALIFICATIONS:

To perform this job successfully, incumbent must be able to perform each essential duty satisfactorily. Requirements listed below are representative of the knowledge, skill, and/or ability required.   • Event planning experience required
  • Responsible Beverage Server (RBS) certification, and food handler certificate required
  • Must be available for in person, on site work
  • Must be able to work holidays, weekends and evenings
  • Proficient on Microsoft Word, Excel, Canva, Outlook, Google suite, POS systems, and use of email.
  • Versatility, flexibility, and a willingness to work within constantly changing priorities with enthusiasm
  • Acute attention to detail
  • Strong organizational, problem-solving, and analytical skills
  • Ability to manage priorities and workflow

PHYSICAL/MENTAL REQUIREMENTS:

While performing the duties of this job, the employee is frequently required to do the following:

  • Calculate figures and amounts.
  • Coordinate multiple tasks simultaneously
  • Ability to work in stressful situations
  • Prolonged standing and walking
  • Stand, sit and walk for long periods of time or an entire shift, repetitive motions, climb stairs, balance, stoop, squat, bend, twist, kneel, reach, grasp and squeeze with both hands. Talk or hear; taste or smell.
  • The employee must occasionally lift and/or move, carry, push and pull up to 30lbs
